Privacy policy

1. The short version

We collect what we need to run BuildersM8 for you and nothing more. We do not sell personal information and we do not use your customers' details for anything except providing the service to you.

2. Two kinds of information

Your details. When you sign up, book a demo or pay us, we hold your name, company, email, phone number and billing details. For this we are the data controller.

What you put into BuildersM8. Your customers, jobs, drawings, quotes, photos and documents, which will include personal information about your own customers. That information is yours. You are the data controller for it and we process it on your instructions, as your data processor.

3. What we use your details for

• To set up and run your account, and to take payment (to perform our contract with you).
• To answer you when you contact us or book a demo (our legitimate interest in running the business).
• To tell you about changes to the service, your trial or your bill (contract).
• To keep the service secure and find faults (legitimate interest).

We only send marketing emails if you have asked for them, and every one has a way to stop them.

4. Who else handles the information

We use a small number of suppliers to run the service. Each one only handles information to do its job for us, under a written agreement:

• Supabase: the database, file storage and sign in.
• Netlify: hosting for the website and the app, and the demo booking form.
• Stripe: card payments. We never see or store your card number.
• Resend: sending emails from the service.

Where a supplier handles information outside the UK, it does so under the safeguards UK data protection law requires.

5. How long we keep it

We keep your account information for as long as you have an account. When you close it we delete the account and what is in it within 30 days, apart from invoices and payment records, which the law requires us to keep for six years. Demo requests are deleted after 12 months.

6. Keeping it safe

Every firm's data is kept apart from every other firm's in the database itself. Connections are encrypted, the data is backed up, and access on our side is limited to the people who need it to support you.

7. Cookies

This website does not use advertising or tracking cookies. The app uses only the cookies it needs to keep you signed in.

8. Your rights

You can ask us for a copy of the personal information we hold about you, ask us to correct or delete it, and object to or restrict how we use it. Email us and we will answer within a month. If you are a customer of a building firm that uses BuildersM8, ask that firm first: it decides what happens to your information, and we will help it answer you.

If you are not happy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk.

9. Changes

If we change this policy in a way that matters, we will tell account holders in the app or by email before the change takes effect.
